About the Role
Administrative Assistant
Remote • Full Time
ICS seeks a collaborative, organized, detail-oriented, resourceful, and enthusiastic professional to join our team. The Administrative Assistant will offer overall support to ICS and primarily (but not exclusively) support the CEO. The Administrative Assistant will be primarily responsible for scheduling functions, arranging travel, and communicating with the Board of Directors as well as some partners. This position will also play a key role in working with ICS team members to manage workflow and meetings, build and sustain a positive organizational culture, and complete additional tasks and projects (such as small research projects), as needed.

Key Responsibilities
- Assume responsibility for logistical aspects of staff, board, and other meetings, agendas and related materials
- Coordinate all aspects of travel
- Prepare ICS related correspondence and materials
- Regularly update ICS website
- Data entry into our CRM
- Maintain CEO’s calendar
- Conduct and present basic research
- Assist with other special projects and duties, as needed
Qualifications and Requirements

- Highly organized: You like making sure that that information, documents, and files are clear and orderly.
- Excellent with time management: You can easily prioritize competing projects and priorities, and know what systems you need in place to effectively multitask.
- Detail-oriented: You are thorough and organized, and things rarely fall through the cracks.
- Solutions-Oriented: When faced with a challenge, you are resourceful and come up with proposed solutions.
- Judgement: You are not afraid to ask for guidance when you get stuck and you know when to ask for help or get input and guidance from others.
- Adaptable: You’re an eager learner and enjoy putting on different hats to help move the team and the work forward.
- Personable: You love working with others; you are a great representative of ICS and its mission; you have a positive attitude, you’re relationship-focused, and you’re committed to your learning and growth.
You Have:
- 1-3 years of professional experience, preferably at a nonprofit organization
- Bachelor’s degree
- Strong organizational skills
- Experience using Google Suite, CRMs, Microsoft Office, Zoom/Google Meet, Slack (or have used similar tools before and can quickly learn these ones)
- Strong oral and written communication skills

$63,000
