Job Summary:
The Office of the General Counsel provides high-quality, professional legal representation to the Arizona Corporation Commission, assisting in the execution of its powers, duties, and responsibilities. We handle a wide range of matters including Commission dockets, open meetings, federal regulatory cases, litigation, administrative tasks, public records requests, and special projects. We are looking to add a detail-oriented and motivated Executive Legal Assistant to join our team. In this role, you will provide comprehensive legal secretarial, administrative, and office support to 1-3 staff attorneys within the Office of General Counsel (OGC). This includes handling pleadings, discovery requests, and correspondence, as well as managing litigation deadlines, meetings, and attorney schedules. You will also assist with special assignments as directed by the General Counsel and Deputy General Counsel and support OGC paralegals and legal assistants as needed.
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.
Job Duties:
- Draft, proofread, edit, and file a variety of legal documents including pleadings, discovery requests, and correspondence.
- Manage and coordinate litigation deadlines, meetings, and attorney calendars.
- Maintain and manage attorney case lists.
- Fact-check and proofread legal documents for accuracy, grammar, and formatting.
- Communicate professionally with the public, media, and government entities on behalf of attorneys.
- Assist with special projects and assignments as directed by the General Counsel and Deputy General Counsel.
- Provide backup support for division paralegals and legal assistants, ensuring seamless office operations
Knowledge, Skills & Abilities (KSAs):
Technical Proficiency: Advanced knowledge of Microsoft 365 and PDF document management; proficient in MS Word, Outlook, Excel, and transcription tools.
Legal Knowledge: Familiarity with litigation protocols, legal terminology, administrative law, and the legal filing process in county, state, and federal courts (including appellate briefs).
Administrative Expertise: Ability to draft and file legal documents internally via eDocket and externally with the Clerks of Courts at the State and Federal levels, monitor and anticipate deadlines, and manage overlapping case workloads.
Attention to Detail: Strong ability to perform detailed work with speed and accuracy while ensuring confidentiality and compliance with legal standards.
Communication: Excellent writing and communication skills, with the ability to convey complex legal information clearly and professionally.
Teamwork: A collaborative attitude with a demonstrated ability to work in a team and independently support multiple attorneys.
Time Management and Organization Skills are strongly preferred as well as a strong desire to learn.
Selective Preference(s):
Formal legal secretary education or related certification. Several years of experience supporting 2 or more attorneys simultaneously in a fast-paced legal environment. Prior experience in administrative law or working with regulatory agencies is a plus.
