Overview
The Event Operations and Travel Supervisor is responsible for overseeing all operational aspects of virtual and in-person events, including planning, setup, execution, and breakdown. This role ensures that events are executed seamlessly, meeting organizational standards. The supervisor coordinates between various departments, manages staff, and handles logistical challenges to deliver successful events including travel.
Responsibilities
Event Planning and Coordination:
- Collaborate with stakeholders to understand event requirements and objectives.
- Develop detailed event plans, including timelines, staffing, equipment needs, and logistical arrangements.
- Coordinate with vendors, suppliers, and contractors to ensure timely delivery and setup of materials and services.
Team Management:
- Supervise and lead event and travel staff, including setup crews, technical teams, and service personnel.
- Assign tasks and responsibilities to team members and provide clear instructions and support.
- Conduct training sessions for staff on event procedures and safety protocols.
- Manage Travel and People Operations Coordinator
Operational Oversight:
- Oversee the setup and teardown of event spaces, ensuring that all equipment and materials are in place and functioning correctly.
- Manage event logistics, including registration, team activities, crowd control, and the implementation of emergency procedures.
- Address any issues or disruptions that arise during the event promptly and efficiently.
Vendor and Stakeholder Communication:
- Act as the main point of contact for internal stakeholders and vendors for planning, preparing and during events, addressing their needs and concerns as they arise.
- Provide regular updates to internal stakeholders on event progress and any changes to the plan.
Quality Control:
- Ensure that all event operations comply with organizational standards, industry regulations, and client specifications.
- Conduct post-event evaluations to assess the success of the event and identify areas for improvement.
Budget Management:
- Monitor and manage the event budget, including expenses for labor, equipment, and services.
- Work with finance teams to process invoices and reconcile expenses.
Qualifications
- Bachelor’s degree in event management, hospitality, business administration, or related field preferred.
- 3 years’ proven experience in event coordination or operations required, with staff supervisory experience preferred.
- Strong leadership and team management skills.
- Excellent organizational and multitasking abilities.
- Outstanding communication and interpersonal skills.
- Ability to work under pressure and adapt to changing circumstances.
- Proficiency in event management software and Microsoft Office Suite.
- Knowledge of health and safety regulations related to event operations.
- Must be able to work irregular hours, including evenings, weekends, and holidays, as required by event schedules.
- Must have flexibility to travel to provide onsite support for events
