Job Overview 

We are seeking a detail-oriented and experienced Procurement and Payables Specialist to join our Finance team. The successful candidate will be responsible for managing both procurement activities, including managing the flow of purchase requisitions to purchase orders and vendor management, as well as accounts payable functions, ensuring accurate and timely processing of invoices and payments. 

This is a hybrid position, with the potential for up to 3 days per week in our Nashua, NH headquarters depending on location.   

Responsibilities 

  • Generate and manage purchase orders and maintain procurement records. 

  • Communicate and collaborate with suppliers to resolve issues and monitor performance. 

  • Conduct cost analysis and identify cost-saving opportunities. 

  • Source, evaluate, and select suppliers/vendors based on quality, price, and delivery capabilities. 

  • Negotiate favorable terms and agreements with suppliers, including pricing, payment terms, and delivery schedules. 

  • Ensure compliance with procurement policies and regulations. 

  • Receive, review, and process invoices from vendors and suppliers. 

  • Verify the accuracy, completeness, and authorization of invoices. 

  • Enter invoice details into the accounting system and ensure proper coding. 

  • Schedule and prepare payments to vendors through various payment methods. 

  • Reconcile invoices and payments to maintain accurate accounts payable records. 

  • Communicate with vendors to address invoice discrepancies and payment inquiries. 

  • Process employee expense reports and ensure timely reimbursements. 

  • Maintain meticulous records of accounts payable transactions for auditing purposes. 

  • Assist with month-end and year-end closing procedures, including financial reporting. 

 

Requirements  

  • Bachelor's degree in Finance, Accounting, Business, or a related field. 

  • Minimum of 3-5 years of relevant experience in procurement and accounts payable roles. 

  • Proven experience in procurement, vendor management, and accounts payable functions. 

  • Familiarity with procurement and accounting software (e.g., Sage Intacct, Bill, SAP, Oracle, QuickBooks). 

  • Strong negotiation skills and the ability to build and maintain vendor relationships. 

  • Excellent attention to detail and accuracy in data entry and record-keeping. 

  • Knowledge of accounting principles, financial regulations, and compliance. 

  • Effective communication skills, both written and verbal. 

  • Analytical mindset with the ability to perform cost analysis. 

  • Proficiency in Microsoft Office Suite, especially Excel. 

  • Experience with process improvement and automation initiatives is a plus.
